Privacy Policy
This policy explains what personal information Apex Cargo International collects, why we collect it, who we share it with and what you can ask us to do about it. It covers https://apexcargoint.com and the shipments we handle.
We are the data controller for this information. Our head office address and contact email are at the end of this policy.
There are no customer accounts
This website has no customer registration, no customer login and no customer passwords. You track a shipment by entering its tracking number. We do not build profiles of visitors, we do not run advertising on this site, and we do not sell personal information to anyone.
What we collect
When you request a quote
The quote form collects your full name, email address, telephone number and company name (if given), together with the shipment details: freight type, departure country, recipient country, weight, dimensions, a description of the goods, the delivery date you need and the priority you want.
When you contact us
The contact form collects your name, email address, telephone number, country and the message you write. If you email us directly we keep that correspondence.
When a shipment is booked
To move a consignment we record the name, postal address, email address, telephone number and country of both the sender and the recipient, along with the origin, destination, freight and shipment type, weight, quantity, a description of the goods, the shipping and expected delivery dates, the charges, and the tracking number issued.
As the consignment moves we add status updates: the current location (address, city, country), the status, the percentage complete and any note our operations team adds. These updates are what appear on the public tracking page for that tracking number.
Automatically, when you visit
Our web server records standard log data — IP address, browser type and version, operating system, the pages requested, the referring page, and the date and time. This is used to keep the site running, diagnose faults and detect abuse.
Cookies
We use a small number of strictly necessary cookies. We do not use advertising or cross-site tracking cookies.
- Session cookie — keeps your session consistent as you move between pages, for example so a submitted form returns you to the right place with the right message.
- CSRF token cookie — a security cookie that proves a form submission genuinely came from our site, protecting the quote and contact forms from abuse.
Both expire when your session ends or shortly after. Blocking them in your browser will prevent the quote and contact forms from working.
Why we are allowed to use it
- To perform a contract — arranging, carrying, clearing and delivering a consignment, and answering a quote request that may lead to one.
- To meet a legal obligation — customs and border declarations, export and sanctions screening, tax and accounting records.
- For our legitimate interests — keeping the website secure and available, preventing fraud, and dealing with claims and disputes.
- With your consent — where you ask us to do something that is not covered by the above. You can withdraw consent at any time.
Who we share it with
A shipment cannot move without its details being shared. We pass personal information to:
- Carriers — the airlines, shipping lines, road hauliers and courier companies performing the carriage.
- Origin and destination agents — the local partners who collect, clear and deliver.
- Customs, border and security authorities — where declarations or screening are required by law.
- Insurers and loss adjusters — where cargo insurance is arranged or a claim is made.
- Our service providers — our web hosting provider, which stores this site and its database, and our email provider, which sends shipment confirmations, status updates and quote acknowledgements.
- Professional advisers and authorities — where we are required to disclose by law, court order or regulatory request.
We do not sell, rent or trade personal information, and we do not share it for anyone else's marketing.
International transfers
International freight is international by nature. If you send a consignment from one country to another, the details of that consignment will be transferred to parties in both countries, and in any country it transits. This is unavoidable and is necessary to perform the contract with you.
Tracking numbers
Anyone who enters a valid tracking number can see that consignment's route, status and movement history. This is how shipment tracking works, and it lets a sender share progress with a recipient without either needing an account. Treat your tracking number as confidential and share it only with people you want to have that visibility.
How long we keep it
- Shipment and tracking records — kept for as long as customs, tax and carriage law require us to, and while any claim remains possible.
- Quote requests that do not become shipments — kept while the enquiry is live and for a reasonable period afterwards, then deleted.
- Contact messages — kept for as long as needed to deal with the matter raised.
- Server logs — kept for a short period for security and diagnostics, then rotated out.
How we protect it
The site is served over HTTPS, so data in transit between your browser and us is encrypted. Access to the administrative back office is restricted to authorised staff, protected by password and, where enabled, a second authentication factor. Administrator passwords are stored only as cryptographic hashes and cannot be read back by anyone, including us.
No system is perfectly secure. We cannot guarantee the security of information transmitted over the internet, and any transmission is at your own risk.
Your rights
Subject to the law that applies to you, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is inaccurate or incomplete;
- delete information we no longer have a lawful reason to keep;
- restrict or object to how we use it;
- provide it in a portable, machine-readable form;
- withdraw consent, where consent was the basis for using it.
Some information cannot be deleted on request — customs declarations and accounting records, for example, must be retained by law for a set period. Where that applies we will tell you why.
To exercise any of these rights, email support@apexcargoint.com. We respond within 30 days. We may need to verify your identity first, particularly where a request concerns a shipment you are not the sender of.
Other people's details
When you book a shipment you give us the recipient's name and contact details. You confirm you are entitled to share those details with us so we can deliver the consignment and send delivery notifications. If a recipient wants to know what we hold about them, they can contact us directly.
Children
Our services are for businesses and adults. We do not knowingly collect information from children. If you believe a child has given us personal information, contact us and we will delete it.
Other websites
Where we link to a carrier, agent or other third-party site, that site has its own privacy policy and we are not responsible for it. Check the policy of any site you visit from here.
Changes to this policy
We update this policy when our practices or the law change. The "Last Updated" date below shows when the current version took effect. Material changes will be highlighted on this page.
